Five words or fewer
The screenshot gets the label: "missing tax ID", "should be 12". The full explanation goes in the message, where people can copy and search it.
"Required field", "wrong total", "click here": two or three words in the right spot save a whole back-and-forth. Here is how to add text to a screenshot with Paint, the Snipping Tool and straight on screen.
Hold Shift for a straight line, Ctrl for a rectangle and Ctrl + Shift for an arrow.
The built-in way to type on a screenshot is Paint. Paste the screenshot with Ctrl + V, pick the Text tool (the A icon), click where you want the text and type. The text toolbar changes the font, size and color.
The Windows 11 Snipping Tool has no text tool. You can handwrite with the pen, or open the capture in Paint with Edit > Edit with Paint.
In Sincron Screen Tools the text goes straight on screen: Ctrl + Shift + D opens the drawing layer, the T key switches to text, and you click, type and press Enter. Then Ctrl + Shift + C captures the region with the text and opens the Screenshot Studio. It is free, with no limits.

Text, arrows and highlights on the same layer, over any app, before you capture.
Press Ctrl + Shift + D. The toolbar appears and the app underneath stays exactly as it was.
T switches to the text tool. Choose a color with a key (R red, O orange, Y yellow, G green, B blue) or from the toolbar. The font size follows the thickness setting: raise the thickness for bigger text.
Click where the text should start and type. Enter confirms, Shift + Enter adds a line break and Esc discards what you are typing.
Hold Ctrl + Shift and drag to connect the label to the right spot with an arrow, or press Shift plus a color key to highlight. Ctrl + Z undoes the last mark.
Press Ctrl + Shift + C and drag over the region. The crop keeps your drawings and opens in the Screenshot Studio. Copy the image or save a PNG.

Write beside the element, or at the tail of an arrow pointing to it. A label floating in a corner makes people work out the connection.
Red text on a red background disappears. On a dark screen, use yellow or white; on a light one, red, blue or black.
Sincron writes plain text, with no callout bubble and no background behind the letters. For speech bubbles, use an editor that has them, such as ShareX.
In Sincron, text confirmed with Enter can't be edited or moved. Ctrl + Z undoes it and you type again.
In the Snipping Tool, typed text means a trip to Paint. Handwriting with a mouse works for one word but gets hard to read.
Sincron doesn't copy the original text out of an image (OCR). The Snipping Tool's Text actions can do that.
Not as typed text. It has a pen, a highlighter, shapes, an eraser and image crop. To type, choose Edit > Edit with Paint and use the Text tool, or handwrite with the pen.
